How to fill out and sign a PDF form

PDF forms come in two shapes, and the difference decides how you fill them. Some have real interactive fields you can click into. Others are flat pages — often scans — where you have to place text yourself. Both can be completed and signed without printing.

Tell the two form types apart first

Open the file and tap where a name would go. If a cursor appears and the box highlights, the form has interactive fields: fill them in order, use Tab to move, and the text will sit perfectly aligned. If nothing happens, the form is flat and you will place text boxes over the lines yourself. Flat forms are more common than people expect, because most forms in circulation are scans of an original.

Match the printed text: similar size, dark ink, sitting on the line rather than above or through it. Keep one text size across the whole form. Dates are the usual trap — write them in the format the form itself uses, and if the form shows separate boxes for day, month and year, place three short entries rather than one long string.

Sign last, then check before sending

Place the signature after every field is filled, so you do not have to move it later. Before exporting, run three checks: every required box filled, the date correct, and no signature covering printed text. Then export a new file and keep the blank original — forms tend to come back for a second round.
